This policy explains what personal information the D Block Sushant Lok Residents Welfare Association ("the Association", "we", "us") collects when you contact our WhatsApp helpdesk, why we collect it, how long we keep it, and what you can ask us to do with it.

We have tried to write this in plain language. If anything here is unclear, please write to us using the contact details at the end and we will explain it.

1.Who we are

The Association is a residents' welfare association registered under the Haryana Registration and Regulation of Societies Act, 2012 (registration memo no. 2025-10-0002478, dated 14 October 2025), serving the residents of D Block, Sushant Lok, Gurugram, Haryana, India.

For the purposes of the Digital Personal Data Protection Act, 2023, the Association is the Data Fiduciary responsible for the information described in this policy.

2.What the helpdesk does

The Association operates an automated helpdesk on WhatsApp. An authorised user sends a question to the Association's WhatsApp number, and the service replies with information drawn from the Association's own records — for example the status of matters the Association is handling, notices it has issued, and documents it holds on behalf of the community.

Access is currently limited to the Association's office-bearers and committee members, and may be extended to residents in future. The service answers questions. It does not accept payments, and it is not a channel for reporting emergencies. For anything urgent, please contact the Association or the appropriate authority directly.

3.What we collect

Your WhatsApp phone number So we can reply to you, and so we can confirm that you are entitled to use the service.
The messages you send us The text of your question, and the date and time you sent it. This is what the service reads in order to answer.
The replies we send you Kept alongside your question so that we have a record of what the Association told you.
Basic technical records Delivery and error logs that let us tell whether a message arrived, and identifiers that stop the same message being answered twice.

We do not ask for, and the service does not need, your address, identity documents, financial details, or any information about your health, religion, caste or political views. Please do not send such information through the helpdesk.

4.Why we collect it

  • To answer the question you asked.
  • To confirm that the person asking is entitled to use the service.
  • To keep an accurate record of what the Association communicated, and when — the Association is accountable to its members and may need to show this.
  • To keep the service working and secure, including detecting misuse.

We do not use your information for advertising. We do not sell it, rent it, or share it with anyone for marketing purposes.

5.WhatsApp's role

The helpdesk runs on the WhatsApp Business Platform, provided by Meta. Your messages travel through Meta's systems in order to reach us, and Meta handles that traffic under its own terms and privacy policy, which are outside the Association's control. Once a message reaches us, this policy governs what we do with it.

6.Where your information is stored

Messages and the Association's records are held on servers located in India, and on the Association's own storage. Access is restricted to the office-bearers and authorised volunteers who need it to run the service.

7.How long we keep it

Helpdesk conversations are retained for 12 months, after which they are deleted. Where a conversation forms part of the Association's formal record — for instance a complaint the Association acted on — it is retained for as long as the Association is required to keep records of that matter, and then deleted.

8.Who we share it with

We share your information only where one of the following applies:

  • with service providers who host or transmit the service on our behalf, and only to the extent they need it to provide that service;
  • where the Association is required to disclose it by law, by a court, or by a government authority;
  • where it is necessary to establish, exercise or defend a legal claim involving the Association;
  • where you have asked us to.

9.Your rights

You can ask us to:

  • tell you what information we hold about you;
  • correct anything that is wrong or out of date;
  • delete your helpdesk messages, subject to any record the Association is obliged to keep;
  • stop using the service — simply stop messaging it, or tell us and we will remove your number.

Write to the contact address below. We will respond within a reasonable period. If you are not satisfied with how we have handled your request, you may raise the matter with the Data Protection Board of India.

10.Security

Access to the service and to the Association's records is restricted and password-protected, connections are encrypted in transit, and the systems that hold the records are kept up to date. No system is perfectly secure, and we do not claim otherwise; we take reasonable measures appropriate to the sensitivity of the information involved.

11.Children

The helpdesk is intended for adults. We do not knowingly collect information from children. If you believe a child has used the service, please contact us and we will delete the record.

12.Changes to this policy

If we change this policy we will update the date at the top of this page. Material changes will be notified to residents through the Association's usual channels.
